Meridian's growth had stalled despite a healthy lead volume. The problem wasn't the number of leads — it was what happened to them after they came in. We built an AI layer on top of Follow Up Boss that evaluates each new lead on 12 signals within seconds of arrival: price range, stated timeline, property type, inquiry source, message content sentiment, and engagement history. High-score leads trigger an immediate personalized SMS and email — within 90 seconds of submission — that references the specific property or search they came from. The message comes from the assigned agent's number and email, with no generic platform footprint.

90-Day Adaptive Nurture Sequences

Leads who don't respond to the initial outreach enter a behavior-adaptive nurture sequence that runs for 90 days. Message frequency and content adapts based on engagement: opens, clicks, and replies all affect the cadence. Leads who re-engage after going quiet are flagged automatically for agent follow-up with a briefing note on their history. At day 90, unresponsive leads move to a monthly drip rather than being abandoned.

CRM Automation & Pipeline Intelligence

We restructured Follow Up Boss to enforce consistent data entry through automation rather than relying on agents to log manually. Call and text logs sync automatically. After each completed showing, a follow-up task is created for the assigned agent with a pre-drafted check-in message. A weekly pipeline health report is auto-generated every Monday morning, summarizing lead volume, response rates, and pending follow-ups — delivered to the operations manager via email.

AI Listing Description Generator

We built a custom internal tool where agents enter 8–10 basic property facts (beds, baths, lot size, key features, neighborhood) and the AI generates a full MLS-ready listing description in the agency's established tone and style. Agents review and approve with minor edits. What previously took 45–90 minutes now takes under 10, and listings go live an average of 3 days faster than before.
